Is EBE right for us?

Who uses EBE’s software?

Transportation companies of every size and industry segment. Over 650 fleets and logistics providers across the United States and Canada run EBE’s solutions, from family-owned operators running a few dozen trucks to some of the largest carriers in North America.

Are we too small for EBE?

No. The question isn’t fleet size, it’s whether you have people doing repetitive work that could be automated instead. A 60-truck operation with one person keying invoices all week has the same problem a 600-truck operation has, at a different scale.

Start with one process. If it doesn’t pay for itself, don’t add the next one.

Do we have to buy the whole suite?

No. Almost everyone starts with a single process costing them the most hours, usually customer portal work or DQ files, and adds the next solution once the first has proved itself.

Do you work outside the United States?

Yes. EBE works across the United States and Canada.

What this means for your team

Will this replace our staff?

That isn’t usually what happens, and it isn’t how the projects get scoped. What comes out is the repetitive handling: the keying, the printing, the logging into customer portals, the hunt for a document somebody filed at another terminal. What stays is the work that needs somebody to look at it and decide.

At Texas TransEastern, invoicing went from four hours a day to 45 minutes. The biller is still there. What reaches them now is the exception rather than every transaction.

So what do our billers actually do instead?

Exceptions, and the work that was always getting squeezed out to make room for the keying.

The load that came in without a ticket. The rate that doesn’t match. The customer with a billing rule nobody else has. The collections call that never got made because there wasn’t time. That work has always needed judgement, and it’s the part that pays for itself when somebody finally has room to do it.

Buying and pricing

What are the purchase options?

Cloud-based subscription, or a capital purchase that resides on your own system. Both are available for every solution. It’s a question of how your finance team prefers to account for it.

How much does it cost?

It depends on which solutions you take, how many users, and how much of the work you want handled for you. Rather than publish a number that would be wrong for most people, we build it against your actual volumes.

Is implementation billed separately from the subscription?

Implementation is scoped against the project. Standard configuration and implementation services may be included in the commercial agreement, while additional customization, professional services or changes in scope may be quoted separately.

Those costs are made clear during scoping rather than appearing later.

How long are contracts?

Agreements are generally structured around annual subscriptions. Longer-term agreements are available for customers who want to make a longer commitment.

Implementation and training

What’s involved in the implementation process?

You complete a pre-requirement survey, which EBE reviews with representatives from your company. We then analyze your current processes and produce a Requirements Definition setting out the detail of the project. That document is what the software gets configured against.

It means the configuration matches how you actually operate rather than how the software assumes you do.

How long does implementation take?

There isn’t one number, and anybody who gives you one before scoping your project is guessing. What actually drives it: how complex the workflow is, how many integrations are involved, how many document types you handle, how much configuration your operation needs, and how quickly your team can get us data and decisions.

The Requirements Definition is where it stops being an estimate. A single process on one customer portal is a different project from a full driver lifecycle rollout, and we’d rather scope yours than quote you somebody else’s.

How much of our team’s time does it take?

We ask you to name a project owner, plus subject matter experts for the processes being automated. Those are the people who know how the work really runs, which is usually not what the process document says.

During requirements and configuration we need regular working sessions and timely feedback. After the design phase the commitment drops off, because EBE handles configuration, testing and implementation from there.

Who does the integration work?

EBE staff. We don’t outsource integrations to a third party who learns your systems on your budget and then disappears.

What happens after the software is installed?

We train your staff on both usage and administration, onsite or remotely, depending on the project and what suits you.

Working with your systems

Do we have to replace our TMS?

No, and that’s the point of the whole approach. EBE automates the work happening around your systems: portal logins, document uploads, status posting, data entry. It doesn’t become another system to migrate onto.

Does it integrate with third-party systems?

Yes. Whether you need one solution or the whole suite, integration with your other systems is part of the job. We partner with other companies, including competitors, when that’s what makes a project work.

Adaptive Capture™ is live in production with McLeod, Trimble TMW.Suite, TruckMate and Innovative, and the platform connects to Geotab, Motive, Platform Science, Samsara and others.

What if our TMS isn’t on your list?

Ask us. The systems we name are the ones running in production today, not the limit of what’s possible.

Where there’s no API to connect to, robotic process automation does what a person would do in the interface instead. That’s already how a lot of the customer portal work runs, because those portals were never built to be integrated with. Whether it’s worth building for your system gets decided during scoping.

What happens if we change TMS later?

If the migration can be handled with an existing supported integration and standard configuration, the transition is relatively straightforward.

If the new TMS needs fresh integration work, workflow redesign, custom development or significant reimplementation, that work gets scoped separately. Tell us early rather than late.

Where does our data live?

Wherever you want it. Four options: EBE’s Azure environment, your own Azure tenancy, EBE hosted, or entirely on your own premises. We don’t force customers into a hosted environment.

Do our drivers have to change apps?

Not necessarily. SHIPSMobile™ has an open API into Platform Science, Geotab and Motive, so capture can run inside the mobile comm platform your drivers already open. Carriers without one run SHIPSMobile™ on its own, branded to their company.

AI, accuracy and your data

Is BeyondAI™ actually AI, or is that just a label?

Both parts are real, and they do different jobs. AI-powered OCR reads documents that don’t arrive in a fixed format, which is most of them. Robotic process automation does the clicking and keying across systems that have no API to connect to.

The OCR is the part that learns. The RPA is the part that follows rules. Most of the value comes from the two together: reading a document nobody formatted for you, then acting on it inside a system that was never built to be integrated with.

Does it make decisions without a person?

Within limits you set. Transactions that match the standard you defined close on their own. Anything outside it stops and waits for somebody.

At Blackhawk Transport, that split runs at over 90% closing automatically, with a biller handling the rest. The point isn’t removing judgement from the process. It’s removing the transactions that never needed any.

What happens when it gets something wrong?

It gets flagged rather than filed. Characters the OCR isn’t confident about are held for a person to check before anything downstream happens. At Blackhawk Transport that runs at around 4% of the total.

Confidence thresholds are configurable, so you decide how much gets checked in the first months and can loosen it once the output has earned your trust.

Is our data used to train AI models?

No. Customer data is not used to train EBE models or third-party AI models.

Who owns our data?

You do. A customer’s data remains the property of that customer.

Support and security

Who answers when we call support?

EBE staff in East Moline, Illinois. Not a contracted call center in another time zone.

What are your support hours?

The help desk is on standby Monday to Friday, 7:30 a.m. to 6:00 p.m. CST on 800-447-0612. After-hours cover is available on 309-781-2599, and charges apply. You can also submit a ticket at any time.

Are you SOC 2 certified?

Yes. EBE has completed a SOC 2 Type 2 audit, the one that tests whether controls actually operated over a period of time rather than whether they existed on the day somebody looked. Details are on the Trust & Security page, and we’ll share the report under NDA.

Telling the solutions apart

What is the Digital Workforce?

It’s the name for what runs across all of it: software doing the repetitive parts of back-office work that people were doing by hand. Not a product you buy on its own.

BeyondAI™ is the automation layer. CORE™, EBE ATS, SHIPSMobile™, Adaptive Capture™ and RMIS are where it gets applied to specific parts of the operation.

What’s the difference between CORE™ and RMIS?

CORE™ works to prevent the event: driver qualification files, MVR monitoring, scorecards, coaching. RMIS handles everything after one happens, from the scene to the claim to the reserve to the litigation.

Most carriers eventually run both, because it’s the same safety director on two different kinds of day.

What’s the difference between SHIPSMobile™ and Adaptive Capture™?

SHIPSMobile™ is the capture workflow. The driver photographs a document on their phone and it reaches your back office indexed, with the image checked for legibility before they put the phone away.

Adaptive Capture™ adds validation of the work: whether the evidence that shipment required was actually captured, checked against requirements pulled from your TMS while the driver is still onsite.

Do we need SHIPSMobile™ to run Adaptive Capture™?

Not necessarily. It’s most often added onto SHIPSMobile™, but it can run on top of a mobile capture and mobile communications platform you already have. What it needs is a driver workflow to sit inside and shipment context to validate against.

Is Financial Automation the same thing as BeyondAI™?

BeyondAI™ is the automation layer: AI-powered OCR and robotic process automation working across your systems. Financial Automation is that layer applied to the money, meaning invoicing, EDI, customer portals, settlements and detention claims.

About the company

Who owns EBE?

The founding family. EBE started in 1973 as Electronic Business Equipment in East Moline, Illinois, and is now second generation, privately held and self-funded. There has never been an outside investment round and the company has never been acquired.

In practice that means no private equity reshuffling management every three years, and a roadmap decided by people who answer the phone when something breaks.

How long has EBE been doing this?

In business since 1973. Thirty of those years in document imaging and workflow, twenty-five in OCR and form recognition, and twenty-five focused on transportation.
