Customer story · ERP Portal Automation

Four hours a day became forty-five minutes.

Texas TransEastern was spending half a person’s day, every day of the week, keying invoicing into a single customer’s portal. That work now runs itself, and the time left over goes on the exceptions that actually need a human.

The problem

Large shippers increasingly require carriers to work inside their own portals — posting statuses, uploading documents and submitting invoices through a web interface built for the shipper’s convenience rather than the carrier’s. It is, functionally, data entry into somebody else’s software.

For Texas TransEastern, keeping one customer’s portal current was consuming four hours a day, seven days a week. Not a project. A permanent standing cost, absorbed indefinitely because the alternative was losing the account.

Why it’s worse than it looks

Portal work has a second cost that doesn’t show up on a timesheet. Shippers now score carriers on invoicing accuracy and portal responsiveness, so a back office that falls behind loses standing with the customer for reasons that have nothing to do with how the freight moved. The hours are the visible cost. The scorecard is the expensive one.

What changed

BeyondAI™ took over the posting. Status updates, invoicing and document uploads into the portal now happen automatically, driven by data the carrier’s own systems already held.

The forty-five minutes that remain aren’t keying. They’re correcting dispatch errors — genuine exceptions that need somebody who understands the operation. That’s the work worth paying for.

The result

Accuracy improved at the same time, which is the part people find counterintuitive. Automated posting doesn’t get tired at hour three of a Sunday, and it doesn’t transpose a number because the phone rang.

“EBE reduced our time to invoice in the KAG portal from four hours a day, seven days a week, to only forty-five minutes to correct dispatch errors, while improving accuracy.”
